AI cold calling with CRM integration that keeps pipeline in sync

Outbound is only as good as the data behind it, which is why AI cold calling needs deep CRM integration. ColdCalls.ai pulls your lead lists and statuses from the CRM, calls and qualifies, then writes every outcome, disposition, transcript and booked meeting straight back, so your pipeline is always current.

No rep logs calls by hand, and no lead falls out of sync between the dialer and the CRM. The agent is compliance-first, disclosing the AI on every call, suppressing DNC numbers from your CRM and connected lists, and dialing only within your configured hours and consent rules.

SHORT ANSWER Last updated July 2026

Short answer: the agent pulls lead lists and statuses straight from your CRM, then after every call writes the outcome, disposition, transcript and any booked meeting straight back. No lead falls out of sync between the dialer and the CRM, every call discloses that it is an AI and DNC suppression applies to the CRM lists and any connected lists it dials from, so your pipeline reflects reality without anyone logging calls by hand.

Why it works

What your team gets with CRM integration

Reads from your CRM

The agent pulls lead lists, statuses and ownership from your CRM, so it always calls the right contacts with the right context.

Writes everything back

Call outcomes, dispositions, transcripts and booked meetings sync into the CRM automatically, with zero manual logging by reps.

Compliance synced too

DNC flags from your CRM are honored, AI is disclosed on every call, and dialing stays within configured hours and consent rules.

What it handles

Dialed, disclosed and booked on autopilot

The agent works your lead list, discloses it is an AI on every call, scrubs against DNC in real time, qualifies the prospect, handles objections, and books the meeting straight into your calendar and CRM.

  • Pulls leads and statuses from your CRM
  • Calls, qualifies and books meetings

Why do calls sometimes never appear in the CRM?

Because logging is a separate permission from dialing, and the two can be granted apart. Salesforce documents it plainly: users need the Edit Task permission to log calls, that permission is not automatically included with some profiles, and users on those profiles "can make calls, but those calls are not logged."

That single sentence explains most of the patchy activity history that shows up in pipeline reviews. The rep dials, the conversation happens, the call completes normally, and nothing lands on the record. No error is raised, because from the dialer's point of view nothing failed. The gap only surfaces weeks later when somebody runs an activity report and one rep's numbers look impossible.

The vendor side has an equivalent trap. A dialer that lists your CRM under integrations may push only a call record, or only a call record with a recording link, or only when the rep picks a disposition. PhoneBurner is unusually specific in public, stating that automatic write-back of notes, dispositions and recordings applies to its native integrations only. Most vendors are not that specific, which is why the field-level question belongs in the demo rather than the contract review.

The test that catches it is simple and almost nobody runs it: dial from a test user carrying the same profile as your least-privileged rep, not from an admin account. An admin has every permission and will never reproduce the bug. Then check what actually landed: a task, a call object, the recording, the transcript, the disposition, the duration, or only some of those. We work through the same question vendor by vendor on Salesforce dialer and CRM dialer.

What happened to the native Salesforce dialer?

Salesforce has scheduled it for retirement. Every Sales Dialer page in Salesforce Help now carries the notice that the product "is scheduled for retirement" and that "no new features or enhancements are being added to Sales Dialer," with a recommendation to move to Salesforce Voice.

No formal end-of-life date is stated on the product pages, so teams are told to migrate without being told by when. Salesforce also documents that Dialer users cannot hold Salesforce Voice permission sets and cannot be part of a Salesforce call center, which means the replacement will not run alongside the thing it replaces for the same user. That makes a phased cutover harder than it sounds.

Even at its best, Sales Dialer was never an outbound sales dialer in the sense a sales development team uses the phrase. It places one call at a time from a record or a list view. There is no power dialing, no parallel dialing and no predictive pacing in it. Its published limits narrow it further: outbound to the United States and Canada only with Puerto Rico excluded, Local Presence in the US and not Canada, Lightning Experience on the desktop only, no live calls at all in a sandbox, and voicemail storage capped at 20 messages of two minutes that count against your file storage quota.

For a team whose system of record is Salesforce, that leaves two honest paths. Connect a third-party dialer and accept that on several platforms the Salesforce connector sits a tier above the plan you priced, which we costed for a five rep team in best dialer for Salesforce. Or remove the seat from the equation entirely and let an AI agent place the calls and write back every outcome itself, which is what this page is about.

Why ColdCalls.ai

One AI SDR that runs the whole outbound job

Not a dialer, not a script tool, and not an offshore call center. Dial, disclose, qualify, handle objections and book meetings in one place, with compliance built in.

Calls every lead

The AI voice agent works your whole list, discloses it is an AI on every call, qualifies the prospect and handles objections, so no good lead goes uncalled.

Stays compliant

Real-time DNC scrubbing, TCPA and consent-aware calling, and configurable calling hours mean every call goes out inside the rules, automatically.

Books the meeting

Qualified prospects get booked straight into your calendar and synced to your CRM, so your reps walk into meetings instead of dialing all day.

Good questions

Questions about CRM integration

It connects with the major sales CRMs to read lead lists and write back outcomes, dispositions, transcripts and booked meetings. The goal is a two-way sync so your pipeline reflects every call without anyone logging activity manually.
Yes. The agent honors DNC and suppression flags stored in your CRM and connected lists, so contacts marked do-not-call are skipped automatically. Combined with AI disclosure and calling-hour limits, your CRM data helps keep outreach compliant.
Yes, and it is being retired. Sales Dialer, previously marketed as Lightning Dialer, is a paid add-on license. Salesforce Help now states that it is scheduled for retirement with no new features being added, and recommends moving to Salesforce Voice. It has never offered power, parallel or predictive dialing, and outbound is limited to the United States and Canada.
Usually a missing permission rather than a broken integration. Salesforce documents that users need the Edit Task permission to log calls, that it is not automatically included with some profiles, and that users on those profiles can make calls but the calls are not logged. Reproduce it with a low-privilege profile, because an admin account never will.
No. HubSpot ships a calling tool that dials from a record and logs the result, with no power, parallel or predictive dialing. Its calling minutes are a pooled account limit shared between all users rather than a per-seat allowance, and only Professional and Enterprise subscriptions can buy more minutes.
