What an auto dialer actually changes, and what it does not
An auto dialer removes dead time. That is the honest, complete description of the benefit, and it is worth paying for. Bridge Group's 2025 Sales Development report, based on 351 B2B companies, puts a median rep at 44 phone dials a day producing 4.1 quality conversations. Almost all of the day is spent getting to those four conversations, and a dialer compresses that part.
What it does not change is what happens after someone says hello. The conversation still needs a person who knows the product, can hold a qualification frame and does not fold on the first brush-off. Gong's analysis of roughly 300 million calls (their own customer base, so read it as a directional benchmark rather than an industry average) puts the average cold call connect rate at 5.4% and the top quartile at 13.3%. The gap between those two numbers is list quality, timing and caller ID reputation, none of which a faster dialer fixes. If your reps are already having good conversations and simply cannot have enough of them, buy a dialer. If the conversations themselves are the problem, more of them will not help. The four dialing modes, and the FTC rule that caps the fastest one
Preview dialing shows the rep the record and lets them choose to dial. Progressive places one call automatically as soon as a rep is free. Power runs a fixed ratio of lines per rep, usually two to four. Predictive uses pacing statistics to dial ahead of rep availability, betting on how many calls will go unanswered.
That last bet is regulated, and it is where outbound teams get into real trouble. Under the FTC's Telemarketing Sales Rule, a campaign must keep abandoned calls at or below 3% of calls answered by a person, measured per campaign over any successive 30-day period, and any abandoned call has to play a recorded identification message within two seconds of the greeting, with no sales pitch in it. Penalties run to $53,088 per violation and records are retained for five years. Turning the pacing up to squeeze more connects out of the hour is precisely how a compliant campaign stops being one. What auto dialer software costs once you count the seat it licenses
A $165 per user licence looks like the cost of the program until you remember the seat is empty. Someone has to sit in it. The same Bridge Group research puts median SDR on-target earnings at $80,000, split $55,000 base and $25,000 variable. Add the BLS Employer Costs figure of roughly 43% on top of wages for benefits and payroll tax and the loaded number lands near $114,000 a year, before the manager, the desk, the data and the phone bill.
Against $114,000, a $2,000 annual licence is under 2% of the cost of one dialing seat. That ratio is why comparing dialer prices is usually the least important part of the decision. The number that moves the budget is how many seats you need, and the number that quietly destroys it is turnover: the same report puts median SDR turnover at 40% a year with a three-month ramp and 1.9-year tenure, which means a ten-seat floor rehires four seats every year and pays three months of ramp on each one. Small teams get sold enterprise feature lists they will never open. At three to ten seats the decision comes down to four things: whether the outcome writes back to your CRM without anyone retyping it, whether the product has a seat minimum, whether calling hours and DNC scrubbing are enforced by the system rather than by rep discipline, and what happens to your phone numbers.
That last one surprises people. Dial hard from a single number and carriers start labeling it, at which point your answer rate collapses no matter how good the dialer is.
