CallTools Pricing: What CallTools Costs per Agent and the Unlimited Minutes Fine Print

CallTools publishes no price. The $101.99 and $119.99 per agent figures date from 2023, and "unlimited minutes" sits under a fair use clause. Costs per team.

CallTools does not publish a price. Its pricing page, read on September 26, 2026, is an estimate form that asks for your agent count, calls per week and industry, then routes you to a sales rep. The figures quoted across the web, $101.99 per agent a month on a 12 month contract and $119.99 month to month, trace back to a third party article from April 2023. Budget around $100 to $120 per agent a month as a starting point, and read the fair use clause before you rely on "unlimited minutes".

That is the short answer. The longer one matters more if you are pricing a team of five or more agents, because the number on the quote is not where the risk sits. Below is what CallTools says about its own pricing, where every figure you have seen online actually comes from, what its terms of service say about minutes and payment, and how it compares with dialers that print their prices.

How much does CallTools cost?

CallTools costs whatever your quote says, because the company prints no rate card. Its pricing FAQ states that "A CallTools platform specialist will connect with you to understand your requirements and provide pricing based on your team's goals, workflow, and deployment needs." The estimate form collects four things before a rep calls: how many agents you have, your average calls per week, your industry and your company name.

The only per agent figures in circulation come from a GetVoIP article published on April 19, 2023: $101.99 per agent a month on a 12 month commitment, $119.99 on month to month, unlimited inbound and outbound minutes on both, and SMS at $0.015 a message. Nearly every 2026 roundup repeats those numbers without a date. We found no newer figure on calltools.com, so treat them as a floor from three years ago rather than a current price.

How much does CallTools cost per month for a team?

On the 2023 figures, a five agent team pays about $510 a month on a 12 month contract ($6,119 a year) or about $600 a month month to month ($7,199 a year). Ten agents double that: roughly $1,020 or $1,200 a month. That is our arithmetic on third party numbers, not a CallTools quote, and phone numbers, SMS and any integration work sit on top.

The seat line is rarely the largest cost in an outbound operation. Five agents dialing 40 hours a week at $18 an hour cost about $187,000 a year in wages before commission and payroll tax, against roughly $6,000 to $7,000 for their CallTools seats. A dialer makes those hours more productive. It does not remove them, which is the point we come back to at the end.

Are CallTools minutes really unlimited?

Unlimited within limits CallTools does not publish. Section 3 of its terms of service says included or unlimited usage "is intended for normal and customary business purposes and is subject to reasonable use", and that CallTools "does not publish or guarantee a specific usage threshold." Usage is judged against "usage patterns of comparable customers".

The consequences are spelled out in the same paragraph. If CallTools decides usage is excessive, it "may contact the customer, apply additional usage charges, modify the customer's service or pricing arrangement, restrict or suspend affected services, or terminate service where appropriate." The last sentence is the one to read twice: "Historical usage does not create a guaranteed entitlement to the same level of future usage."

For a light inbound team this will never come up. For a high volume outbound floor running predictive or parallel dialing on short-lived lead lists, it is the most important sentence in the contract, because those campaigns burn far more carrier minutes per agent than a typical customer. Ask the rep, in writing, what monthly minutes per agent they consider normal for your industry and call volume. You gave them both numbers on the estimate form, so they can answer.

What CallTools includes, from its own pages

CallTools sells an inbound and outbound contact center platform rather than a lightweight sales dialer. Its product menu lists predictive, power, preview, progressive and parallel dialing, a click to call extension, a built-in CRM with SMS and email, inbound queues with automatic call distribution, IVR, answering machine detection, dynamic scripting, list management with live filters and caller ID reputation monitoring. The homepage claims 20+ integrations and says teams can "Scale your enterprise in 24 hours with unlimited minutes and zero commitment."

Two details matter for pricing. First, the pricing FAQ says "Your plan is tailored to the dialer modes that best fit your team's workflow, including Predictive, Power, and Preview Dialing", which suggests dialing modes are packaged into the quote rather than all included by default. Confirm which modes your quote covers. Second, the parallel dialer page describes dialing "multiple numbers at once" but prints no line count per agent. BatchDialer, by comparison, states 3 lines on Starter and 5 on Pro. If you are comparing parallel dialers, get the line count in writing.

What the CallTools terms say about payment

Three clauses in the terms of service are worth knowing before you sign the separate Services Agreement that sets your actual price.

  • Personal guarantee. Section 4 says that by purchasing, you represent that "you are the authorized signer on the Services Agreement and personally guarantee payment to Call Tools." The same clause authorizes CallTools to debit your card and to run a verification of funds with your bank. If you sign as a sales manager at a company, you are signing as a guarantor.
  • A 30 day dispute window. Section 5: you must notify CallTools of any disputed charge, with documentation, "within thirty (30) days from the date of payment", or "you will be deemed to have agreed to such charge." Combined with the fair use clause, this means a usage surcharge you do not catch in the month it lands is yours. A team that reconciles every card charge against its books each month will catch it. One that reconciles quarterly will not.
  • Arbitration under California law. Disputes go to JAMS arbitration, which must be started within one year of the claimed breach.

On the 2023 figures, CallTools sits between BatchDialer Starter and PhoneBurner on price, and it is the only one of the four built as a full inbound and outbound call center. What to ask on the CallTools quote call

Because the price is set in a sales conversation, the questions decide what you pay. These are the ones we would ask:

  1. What is the per agent price on a 12 month contract and on month to month, and is the 12 month price billed monthly or up front?
  2. Which dialing modes are included: predictive, power, preview, progressive, parallel? Is any mode an extra?
  3. How many lines per agent does the parallel or predictive dialer run?
  4. What monthly minutes per agent does CallTools treat as normal under the fair use policy for our industry and call volume?
  5. What do phone numbers, SMS and number replacement cost when a caller ID gets flagged?
  6. Is there a setup, onboarding or integration fee for our CRM?
  7. What is the notice period to cancel, and does the Services Agreement renew automatically?
